“We Built RoomNXT to Be Powerful for Enterprises Yet Simple for Everyday Employees ”

As workplaces evolve with hybrid work models and smarter office environments, enterprises are increasingly looking for unified platforms that simplify space, people, and resource management. Traditional systems for meeting rooms, visitors, desks, and parking often remain fragmented and inefficient. RoomNXT addresses this gap with an integrated workplace management platform designed for seamless coordination and improved employee experience. In this conversation, Rajeev Ranjan, Editor, Digital Terminal, speaks with Sanjay Ruparel, Founder of RoomNXT, to understand the vision behind the platform, its evolution for hybrid work, enterprise focus, and its expanding partner ecosystem across India.

Rajeev: What major gap in workplace management did you identify that led to the creation of RoomNXT?

Sanjay: A few years ago, we started noticing something odd. Offices were getting smarter in many ways, but the day-to-day management of those offices was still stuck in the past. People were sending emails to book a meeting room. Visitors were signing paper registers at the front desk. Parking was a free-for-all. And nobody had a clear picture of how the office was actually being used.

That disconnect bothered us. So we started building RoomNXT.

Rajeev: How is RoomNXT evolving to meet the needs of hybrid work environments and ensure better coordination of people, spaces, and resources?

Sanjay: After Covid, hybrid work took over, things got even more complicated. People stopped coming in five days a week. Floors that were packed on Tuesday were half-empty on Thursday. Planning even a simple office day started requiring real effort. We saw this happening early and kept evolving the product to handle it. Today, employees can check real-time desk availability, book a room in seconds, and even make a booking through Calendar Apps. The goal has always been to make interacting with your workplace feel natural, not like filling out a form.

Rajeev: What sets RoomNXT apart from other solutions in this space, both in terms of functionality and user experience??

Sanjay: One thing we were very deliberate about was keeping it simple. A lot of tools in this space go one of two ways. Either they are too basic to be genuinely useful, or they are so feature-heavy that nobody ends up using them properly. We wanted RoomNXT to sit right in the middle. Capable enough for large enterprises, but easy enough that an employee can figure it out on their first day without any training.

Rajeev: How does RoomNXT position itself beyond room booking to become a broader workplace management platform rather than just a scheduling tool?

Sanjay: We did not want to build another collection of disconnected tools. That was the problem we were solving in the first place. So everything in RoomNXT works together. When someone books a meeting room, the visitor management system already knows a guest is coming. Even security knows which visitor car will be coming. Parking can be coordinated alongside. It is one joined-up experience, not four separate apps. Our built-in Pantry ordering system helps employees pre-order food / beverages or order during an ongoing meeting.

Rajeev: How do you address concerns around data security, compliance, and integration with existing enterprise IT systems in a cloud based setup?

Sanjay: Security was something we took seriously from the very beginning, because we knew enterprise customers would not compromise on it. Encrypted data, role-based access, and a solid cloud setup are not add-ons for us. They are built into the foundation. And because most organizations already have tools like Microsoft 365 or Google Workspace in place, we made sure RoomNXT fits into those environments without creating extra work for the IT team.

Rajeev: How strong partner network do you have currently? Is there any plan to extend the partner network to other parts of the country?

Sanjay: A lot of our growth has come through partners. System integrators and AV solution providers who work closely with enterprise clients have been instrumental in helping us reach the right customers and deliver complete solutions. Growing that partner network, especially across emerging business cities in India, is one of our biggest priorities right now.

At the end of the day, what we are really trying to do is make offices less chaotic. The workplace is only going to keep evolving. Our job is to make sure the management of it keeps up.
